Websites are often measured as though form submission completes the conversion job. For the business, that is the beginning of a new operating state. The value of the enquiry now depends on whether context survives the handoff and somebody can make the next decision without relying on memory.
Capture enough context to route the opportunity
The form should collect only the information needed to understand the request, route it and decide the next step. The right fields depend on the commercial job and buyer stage.
Do not force a cold visitor through procurement paperwork, but do not reduce every form to name and email if the business then has no useful context.
Create one visible owner and state
A notification to a shared inbox is visibility, not ownership. The enquiry should enter one explicit current state with one accountable owner.
If responsibility can change, the handoff rule should make that change visible rather than assuming somebody noticed the message.
Acknowledge the enquiry without pretending it is qualified
The buyer should know the enquiry arrived and what to expect next. An acknowledgement can set response expectations without claiming acceptance, availability or fit before a person has reviewed the context.

Every active opportunity needs a next action and date
Status alone does not keep work moving. The system should expose what is expected next, who owns it and when it should be reconsidered if nothing happens.
That may be a call, a request for information, a proposal decision, a timing check or deliberate closure.
Close the loop into learning
Won, lost, stalled and disqualified reasons can reveal problems upstream in targeting, positioning, pricing, trust, qualification and response.
The website becomes more useful when the business can connect incoming intent to the commercial outcome strongly enough to improve the next decision.
Treat the form as a handoff into a commercial operating system: preserve context, assign one owner, qualify explicitly and make the next action visible.
